Massey Cancer Center is seeking an experienced Assistant Director of Administrative Services to oversee the daily operations and strategic development of our administrative team. Massey Cancer Center is searching for an administrative leader who will oversee planning, policy formation, and strategic implementation of administrative services and special projects for Cancer Center leadership. The Assistant Director will hire, train, and evaluate administrative team members; develop, review, and improve policies, systems, and procedures; ensure policy and legal compliance; and generally, ensure the office operates smoothly and efficiently. The administrator delegates tasks to Administrative Assistants and audit administrative practices to ensure consistent implementation of best administrative practices; set goals with their administrative team in order to meet the administrative support needs of the Director of Massey Cancer Center and its leaders; and ensures all tasks are completed by delegating or handling the task directly. The administrator is responsible for equipping all office staff with the information and guidance they need, including training any new team members as part of the on-boarding process. In addition, this leader will collaborate with internal and external constituents to achieve overall strategic goals and participate in high level projects and strategy planning for the Center. The ideal candidate will have excellent communication and leadership skills, be highly organized, and able to manage multiple projects and deadlines.
Duties and Responsibilities:
● Responsible for the day-to-day operations of the Director and leadership team's administrative staff support. This includes allocating assignments, reviewing progress, and ensuring deadlines on projects are met.
● Develop and implement office policies and procedures to ensure smooth and efficient operations.
● Manage the office budget and expenses, including office supplies, equipment, and facility maintenance.
● Create and manage events, meetings, and conferences stemming from the Director's Office.
● Serve as the primary point of contact for all administrative issues, and liaise with other departments to ensure seamless coordination.
● Hire, train, and evaluate employees and take corrective action when necessary.
● Develop and implement training programs for administrative staff to enhance their skills and knowledge.
● Ensure compliance with company policies and procedures and all relevant regulations and laws.
● Ensure the maintenance of accurate and up-to-date records and files, both electronic and paper.
● Implement and maintain technology solutions to improve administrative processes and systems.
● Manage special projects and other duties as assigned. This includes collaborations with other institutions, events and training.
● Work with director and others on coordination of publications and grant submissions.
● Build and expand on skills by engaging in educational opportunities.
● Collaborate with internal and external constituents to achieve overall strategic goals.
Requirements:
● Bachelor's degree in Business Administration or a related field and/or commensurate training and experience
● At least 5 years of experience in administrative management or a related field
● Proven track record of success in managing a team and achieving organizational goals
● Excellent communication and leadership skills
● Strong problem-solving skills and ability to make decisions in a fast-paced environment
● Strong analytical and writing skills
● Ability to work independently and in a team environment
● Strong knowledge of and expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook)
● Familiarity with database management and project management tools
● Ability to handle confidential and sensitive information with discretion
● Experience in project management and process improvement is a plus

Preferred Hiring Standards:
● Master's degree in Business Administration, Public Administration, Public Health, or related field.
● Experience working within a cancer center, particularly within administration or research administration.
● Knowledge of the National Cancer Institute Cancer Center Support Grant components.
