Executive Administrative Assistant
The Office of Institutional Advancement is seeking an experienced Executive Administrative Assistant II to support the Vice President of Institutional Advancement with a broad range of critical day-to-day activities. In a fast paced environment this role requires excellent written and verbal communication skills, and will be exposed to matters confidential in nature requiring discretion.
The Executive Assistant II supports the Vice President of Institutional Advancement with responsibilities to include calendar management; coordinating virtual and in-person meeting with both internal and external constituents; serving as a liaison with outside corporations and boards, campus and University System of Maryland leadership, donors and alumni, community members and others; preparing and reviewing written material, such as correspondence, reports, and charts; maintaining, tracking, and reconciling procurement card purchases; assisting with events and other activities of the division; backup for payroll and HR process. This position operates in a fast paced environment, must maintain composure at all times and will be exposed to matters confidential in nature requiring discretion; anticipates Vice President’s course of action when absent and facilitates problem resolution; interprets administrative decision and policies to other staff and transmits directions and instructions based on Vice President’s delegated authority. The Executive Assistant II finalizes agendas and provides support for meetings including general technology and catering arrangements as needed, and preparing agendas and background material for meetings. The person in this role must respond to a high volume of inquiries, ensuring urgent matters are addressed timely, and triage or direct truly urgent matters to the attention of the Vice President as necessary.
In addition to providing executive support, the Executive Assistant II will also be responsible for designated financial activities of the department. This position processes eDRF’s for Foundation expenses, maintains credit cards, and will coordinate the hiring activities such as scheduling interviews for senior level recruitments. The Executive Assistant II will also manage all aspects of travel related activities for the Vice President and designated Leadership Team members. Perform other duties as assigned.
The ideal candidate will maintain the highest level of professionalism at all times, be skilled as an executive administrative assistant, and maintain confidentiality.
A background check will be required, and a confidentiality agreement must be signed. The desired start date of this position will be July 3, 2023.
In accordance with the non-exempt salary structure approved by the Board of Regents in 2022 this position is an N11 and offers a pay range from $44,843 - $59,401 at the mid-point. Highly skilled Executive Administrative Assistant II's may be considered for a higher starting salary.
Requirements:
Education: High School Diploma
Experience: Six years administrative experience, one year of which was providing primary support to a key administrator. Ability to write and draft error free correspondence, schedule meetings, manage a busy work schedule and use Google Docs, Box, Office Products.

Education: Bachelor’s Degree or higher
Experience: Experience in an academic environment or experience providing support to an executive preferred
