Overview

The Assistant Director of Graduate Admission and Enrollment Services will report to the Director of Graduate Admission and Enrollment Services. This is a new position in the Graduate School that is intended to bridge the coordinator and director roles, helping coordinators manage day-to-day work while also providing support to the director for strategic initiatives, and allowing the director to spend more time on higher-level work. Key job responsibilities include the following: 1) assist the director of graduate school admission and enrollment services in project work and other strategic initiatives, 2) provide support for all aspects of the admission process, including creation and release of each year's admission application, assembly of department information in advance of department-Graduate School admission meetings, generation of offer letters to admitted applicants, and processing of applicant responses, 3) provide support for the onboarding process, including monitoring the I-9 process for all incoming students, communicating with new students on relevant topics, confirming receipt of final transcripts, immunization and other Health Services forms, 4) assist admission coordinators with day-to-day tasks, including, but not limited to, answering inquiries across the five admission email accounts, approving fee waivers, troubleshooting technical issues with the application, and cleaning up application data, 5) answer questions generated by all prospective applicants, applicants and admitted applicants and serve as a liaison between these groups and campus partners, and 6) serve as a resource for all aspects of the nondegree programs, including for visiting students and visiting student research collaborators.

Responsibilities

Team Supervision and Support:

  • Supervise the admission team, acting as first-level support for all application and system-related concerns raised by staff or departments, collecting necessary details, and triaging requests.
  • Ensure the admission team is appropriately trained and stays current with Princeton’s information systems, including (PeopleSoft SIS and, Slate CRM), and Princeton’s policies, and are able to consistently and accurately enter, update, and maintain applicant records in various systems.
  • Provide guidance and training to admission staff to ensure the team works seamlessly on projects and is cross-trained on responsibilities for proper coverage at all times.

Admission Process and Onboarding Support:

  • Ensure accuracy, responsiveness and timely completion of the Admission team tasks that support the annual admission process.
  • Assist admission coordinators with specific tasks, including answering questions generated by all prospective applicants, applicants, and admitted applicants, and cleaning up applicant data.
  • Support the onboarding process, including monitoring the I-9 process for all incoming graduate students, communicating with new graduate students on relevant topics, and confirming receipt of required onboarding tasks.

Communication and Documentation:

  • Create and deliver end-user training documentation for Slate and PeopleSoft and develop an ongoing assessment to ensure consistent use of technology tools.
  • Advise Graduate Program Administrators (GPA) and Directors of Graduate Studies (DGS) on admission-related topics to ensure accurate and dedicated departmental messaging.
  • Design an email communication campaign for applicants to maintain ongoing contact throughout the admission process.

Nondegree Programs:

  • Serve as the lead resource for all aspects of the nondegree programs.
  • Ensure application requirements, deadlines, and website are updated annually and correctly reflected in the nondegree application.

Special Projects:

  • Assist the Director of Graduate Admission and Enrollment Services in project work and other strategic initiatives.

Additional Responsibilities:

  • Serve as backup for the Director of Graduate Admission and Enrollment Services.
  • Performs other duties as assigned by the Director of Graduate Admission and Enrollment Services.


Qualifications

Essential Qualifications:

  • Bachelor’s degree with a minimum of five years of higher education-related work experience.
  • Strong management experience, preferably in a team-oriented environment.
  • Ability to manage multiple projects, set priorities, and meet deadlines, even under pressure and changing preferences.
  • Exceptional interpersonal skills and cultural competencies for interaction with diverse stakeholders, from undergraduates to senior faculty and administrators.
  • Proven ability to develop and nurture relationships across all organizational levels.
  • Ability to work independently and in teams, and with high personal standards for quality work.
  • Excellent proofreading and writing skills, including the ability to clearly and effectively convey complex information to individuals or groups with varying experience levels.
  • Outstanding organizational skills and meticulous attention to detail.
  • Proven ability to exercise discretion, good judgment, and maintain confidentiality.

Preferred Qualifications:

  • Knowledge of/familiarity with Slate and ability to become proficient with technology unique to graduate admission.
  • Familiarity with PeopleSoft.
