Admin Assistant
General Description:
The Admin Assistant will be the point of contact for our Rental clients and community events. They will process all room rentals in state facilities for external clients in accordance with minimum guidelines established by NOVA and the Alexandria Campus.
Duties and Tasks:
- Prepare approval memos, rental facility agreements, and quotes
- Processing and submission to the Business office (processing and submission of what??)
- Review deposits against revenue received
- Submit IT requests, security agreements, and maintain yearly transactions for audit purposes
- Lead all event setups with some support from the college, campus and divisions
- Use set up tools and move light furniture and event boxes
- Additional administrative duties may be assigned by the Campus Operation Director to support other units in the operations domain and campus
- May manage usage of campus state vehicles
Required KSAs:
- Good communication skills
- Good organizational skills
- Attention to detail
- Ability to prioritize and manage to complete tasks on defined schedules
Minimum Qualifications:
- High School diploma or equivalent
- Some experience with MS office suite, web-based software and scheduling
Preferred Qualifications:
- Associates degree or higher, or a combination of education, experience and or training.
- Experience working in a diverse facility and the ability to work under general supervision and maintain confidentiality.
